Frequently asked questions about managing your KC7 tenant, classrooms, games, and users.

Getting Started

A tenant is your organization's account in the KC7 system. It's the container that holds all your classrooms, games, participants, and data. You receive a tenant automatically when your first event is approved.

Yes, but you get one automatically. When you request your first event at kc7cyber.com/gameon, we create a tenant for you. You don't need to take any extra steps.

chevron-rightCan I have multiple tenants?hashtag

Most organizations use a single tenant with multiple classrooms. If you represent truly separate organizations, contact [email protected] to discuss multiple tenants.

chevron-rightIs there a cost for my tenant?hashtag

The tenant platform itself is provided at no additional cost. Some event formats or advanced features may have associated costs, but the basic tenant functionality is included.

Classrooms

chevron-rightHow many classrooms can I create?hashtag

Unlimited. Create as many classrooms as you need to organize your programs.

chevron-rightWhat's the difference between a classroom and a game?hashtag

A classroom is an organizational container (like a course). A game is a specific instance of a KC7 module that participants play (like an assignment). One classroom can contain multiple games.

chevron-rightShould I create a new classroom for each event?hashtag

Not necessarily. Create new classrooms when you're organizing truly different groups (different courses, departments, or time periods). Reuse classrooms for repeated events with the same audience by adding new games within the classroom.

chevron-rightCan I move a game from one classroom to another?hashtag

Not currently. Games are permanently associated with their classroom. If you need the same content in a different classroom, create a new game in that classroom.

chevron-rightWhat happens when I delete a classroom?hashtag

The classroom and all its games are permanently removed. Participant data is preserved if you export it first. This action cannot be undone. Consider archiving instead of deleting.

Games

chevron-rightHow many games can I create in a classroom?hashtag

Unlimited. Each game is a separate instance, so you can create as many as needed for different events, dates, or groups.

chevron-rightCan I use the same module multiple times?hashtag

Yes. Create multiple game instances from the same module for different dates, groups, or events. Each game has its own participants and analytics.

chevron-rightCan I change the module after creating a game?hashtag

No. The base module is locked once a game is created. If you selected the wrong module, create a new game with the correct module.

chevron-rightHow long do games remain accessible?hashtag

Games remain accessible indefinitely unless you disable them or set an end date. Participants can return to completed games to review their work.

Users & Permissions

chevron-rightWhat's the difference between Tenant Manager and Classroom Manager?hashtag

Tenant Managers have full access to the entire tenant (all classrooms). Classroom Managers only have access to their assigned classroom(s). See User Roles for detailed permissions.

chevron-rightHow do I add someone as a co-instructor?hashtag

Assign them the Classroom Manager role for the relevant classroom. They'll be able to manage games and participants in that classroom. Navigate to Users β†’ Select user β†’ Assign Classroom Manager β†’ Choose classroom.

chevron-rightCan participants see other participants' answers?hashtag

No. Participants can only see their own progress and answers. They may see leaderboards (if enabled) showing rankings, but not detailed answer data.

chevron-rightWhat happens to a user's data if I remove them?hashtag

Their historical data and analytics are preserved. They lose access to the classroom/game, but their contributions remain in your analytics for record-keeping.

chevron-rightCan I bulk-add participants?hashtag

Yes. Use the classroom join link method for large groups, or import via CSV for structured data. See Managing Users for details.

Auto-Assign

chevron-rightWhat does auto-assign do?hashtag

Auto-assign automatically enrolls classroom members in a game. When enabled, anyone who joins the classroom is immediately added to games with auto-assign turned on.

chevron-rightShould I use auto-assign?hashtag

Use auto-assign when all classroom members should access the game (open enrollment, large groups). Disable it for selective access or future-dated games that aren't ready yet.

chevron-rightIf I turn off auto-assign, are current participants removed?hashtag

No. Turning off auto-assign only affects future enrollments. Current participants remain enrolled. Manually remove participants if needed.

chevron-rightCan I auto-assign some games but not others in the same classroom?hashtag

Yes. Each game has its own auto-assign toggle. Enable for current games, disable for future ones you're preparing in advance.

Analytics & Data

chevron-rightHow long is analytics data retained?hashtag

Indefinitely. All analytics data is preserved even if games or classrooms are archived or deleted (as long as you export before deletion).

chevron-rightCan I export my data?hashtag

Yes. Navigate to Analytics β†’ Export. Choose format (CSV, PDF, JSON) and select what data to include. Both classroom-level and game-level exports are available.

chevron-rightWhy aren't analytics updating in real-time?hashtag

Analytics typically update every few minutes. Refresh the page and wait a moment. If data is still missing after 5-10 minutes, check that participants are actively engaged.

chevron-rightCan I see which questions are hardest for participants?hashtag

Yes. Game-level analytics show success rates per question, number of attempts, and completion rates. This helps identify questions that need additional instruction.

chevron-rightCan I generate reports for stakeholders?hashtag

Yes. Export analytics data and use it to create custom reports, or use the built-in export formats to generate PDF reports directly from the platform.

Settings & Configuration

chevron-rightCan I customize the appearance of my tenant?hashtag

Yes. Upload logos, select colors, and customize branding in tenant settings. Classrooms can also have individual themes and imagery.

chevron-rightCan I set time limits for games?hashtag

Yes. In game settings, configure start/end dates and time limits. You can set per-question time limits or overall game duration limits.

chevron-rightCan I disable hints?hashtag

Yes. In game settings, configure hint availability, including disabling them entirely or adding point penalties for hint usage.

chevron-rightCan I create custom scoring?hashtag

Yes. Modify point values per question, add speed bonuses, or configure penalties for incorrect attempts in game settings.

chevron-rightCan I integrate KC7 with my LMS (Canvas, Moodle, etc.)?hashtag

Troubleshooting

chevron-rightParticipants say they can't access the gamehashtag

Check: (1) Game link is correct, (2) Game status is Active, (3) Participants are enrolled in classroom if using auto-assign, (4) Start date hasn't passed or hasn't arrived, (5) Password is correct if enabled.

chevron-rightI can't see analytics for my gamehashtag

Verify: (1) Participants have actually started the game, (2) Your role allows analytics access (Classroom Manager or Tenant Manager), (3) You're looking at the correct game, (4) Analytics have had time to generate (wait 5-10 minutes).

chevron-rightI accidentally deleted somethinghashtag

Deleted games and classrooms cannot be recovered. Always export data before deletion. For critical data loss, contact [email protected] immediately to explore recovery options.

chevron-rightAuto-assign isn't workinghashtag

Verify: (1) Toggle is ON in game settings, (2) Participants are classroom members, (3) Game status is Active, (4) Participant limit hasn't been reached.

Only Tenant Managers can create classrooms. If you're a Classroom Manager, you'll need a Tenant Manager to create the classroom for you.

Account & Access

Check your event approval email for the link, or go to kc7cyber.com, log in, and click your tenant name in the navigation.

chevron-rightCan I transfer my tenant to someone else?hashtag

Yes. Invite them as a Tenant Manager, then remove yourself. Or contact [email protected] for assistance with formal tenant transfer.

chevron-rightWhat happens if I stop using KC7?hashtag

Your tenant and data remain accessible indefinitely. There's no automatic expiration. If you want to formally close your tenant, contact [email protected].

Best Practices

chevron-rightHow should I name my games?hashtag

Use descriptive names with dates: "March 2024 - Valdoria" or "Week 3 - Advanced Module". Avoid generic names like "Game 1" or "Test".

chevron-rightShould I archive or delete old games?hashtag

Archive when possible to preserve data and analytics. Only delete if you're certain you won't need the historical data.

chevron-rightHow often should I review user roles?hashtag

Review at least once per term/quarter, when staff changes occur, and after major organizational changes. Regular audits ensure appropriate access levels.
